Understand what a technician earned
Where a technician's incentive comes from, how the office approves it, and where to see earnings before they reach the salary slip.
A technician's pay has two halves: their salary, and what they earn on the work. This page is about the second half.
Where the amount comes from
The technician never types an amount. KaryaFlow works it out when they file the completion sheet on a job.
The figure can be made of up to four parts:
| Part | Where it comes from |
|---|---|
| Visit | Your incentive rates — the amount set for that kind of service on that kind of product |
| Parts | What each part they fitted pays |
| Commission | A percentage of the invoice, for people paid on the sale |
| AMC | Selling an annual maintenance contract on the visit |
You see the breakdown on the job's Technicians tab, written out as Visit ₹200 + Parts ₹150.
Approve it
Nothing counts until the office agrees. Each technician's row sits in one of four states.
| State | What it means |
|---|---|
| In progress | They have not filed their completion sheet yet |
| Awaiting approval | Waiting on you |
| Approved | It counts towards their earnings |
| Rejected | It will not be paid |
Click Approve incentive, or Reject with a reason. The pencil opens Edit incentive, where you can set Visit, Parts, Commission and AMC by hand. The row is marked as edited afterwards.
Do not hunt job by job. The Jobs page has an Incentives to approve filter, and the Dashboard has a card of the same name. Both take you to the queue, and you can approve in bulk from the table.
Set what people are paid
Go to Settings → Pay & Completion → Incentives. Only a Tenant Admin can open it.
It is a grid of amounts. Rows are the kinds of service you do. Columns are the products you work on. Where they meet is what the technician gets for that job.
Add your service types
Type one in Type a service type… and click Add, or pick a ready-made one from the chips below — Installation with Demo, Complaint, Only Demo, Major Service, Normal Service, Labour Work, Visit only and more.
Fill in the amounts
Type the rupee figure into each cell. A blank cell pays nothing.
Click Save Matrix
Every technician now follows these amounts.
The service types you add here become the Nature of service options a technician picks on their completion sheet. That choice is what sets their visit amount.
Renaming a service type changes what technicians see once their app refreshes. Until it does, a sheet filed under the old name earns nothing. Rename at a quiet time.
Pay one person differently
Pick a technician at the top of the same screen. Anything you type is stored for them alone. Every cell you leave blank keeps following the company default, so later changes to the default still reach them.
Two extra kinds of pay live on the person, not on this grid. Open Employees → the person → Incentives → Rates:
- Margin share on parts and AMC pays a percentage of the amount above list price, and only when that technician quoted the higher price themselves.
- Invoice commission pays a percentage of every invoice their job produces, after the cost of the spares is taken off. While it is set, the rate grid and margin share do not pay that person. Clear it to put them back on normal pay.
See what people earned
Go to Reports → Technicians. Pick a date range at the top.
Performance gives one row per technician: Present days, Assigned, Attended and Incentive, plus a column for each of your work statuses. Click a row to drill into that person.
Incentive log gives one row per visit, with cards across the top:
| Card | What it counts |
|---|---|
| Total incentive | Everything approved in the period |
| Visit incentive | The labour half |
| Parts incentive | The spare parts half |
| Commission | From tax invoices |
| AMC incentive | From contracts sold |
| Invoice raised | Invoices credited to them, by invoice date |
| Collected | Money actually received against their calls |
Invoice raised and Collected will not match, and that is correct. A call invoiced this month can be collected next month, and the other way round.
Export CSV downloads the view.
The same log sits on each person's own page under Employees → the person → Incentives → Earned.
Get it onto a salary slip
Open Payroll in the sidebar and pick the month. Overview totals the workspace. Employees lists everyone with their salary, reimbursements and deductions. Click a row to see the full working, and Download Salary Slip (PDF).
The slip itself is generated and marked paid on the person's own page: Employees → the person → Expenses & Payroll.
Click Generate Slip
The dialog fills in the automatic lines: base salary, allowances, incentive and reimbursements. Add any manual deductions or extra support.
Check it, then click Generate Slip
The slip is now generated and waiting for payment.
Click Mark Paid when you have paid them
Choose the payment method first. The button stays greyed out until you do.
After the salary is marked paid, the technician gets a notification and can download the slip in the Technician app.
What technicians see on their own phone
- Home shows what they earned today, split into visits, items and AMC, and what they still owe the office in cash.
- More → Salary Slips shows one month at a time. Before you mark the month paid it reads Estimated Payout, with the line You can download your slip once admin marks this month as paid.
