Assign a technician

How to give a job to a technician on the Dashboard, change who it belongs to, and assign many jobs in one go.

A job with nobody on it does not appear in anyone's Technician app. Assigning is what puts it on a phone.

Assign from the jobs table

Open Jobs and find the row

Use the search box, or filter the Assigned To column on Unassigned.

Click the Assigned To cell

A small list opens with a search box.

Search and pick the person

Type a name. Each row shows the employee code and job title, so you can tell two people with the same name apart.

The table saves at once and confirms Technician assigned.

Assign from the job page

Open the job. Find Assign Technician, search in the box and choose the person, then click Assign.

To take the job off someone, use Unassign. The job stays, and it leaves their phone.

Assign many jobs at once

Tick the jobs in the table

Use the checkbox in each row. To take everything your filter matches, tick the header box and choose Select all … matching this filter.

Click Assign Technician in the bar that appears

The bar shows how many jobs you picked.

Pick the technician and confirm

Every selected job moves to that person.

Bulk actions have a limit on how many jobs they will take at once. If you are over it, KaryaFlow tells you and asks you to narrow your filters. Export to Excel still works on larger sets.

Who appears in the list

Your admin chooses this under Settings → Jobs → Assignment.

  • Assign jobs to technicians only switched on — only people with the Technician role appear. Managers and admins drop out of the list.
  • Switched off — every employee can be assigned.

The rule is the same everywhere: the new job form, the jobs table, bulk assign, the job page and the Technician app.

Someone marked Unavailable beside their name is on leave or otherwise not working. You can still pick them, but check first.

If nobody appears at all, you have no employee records yet. See Add your team.

What changing the technician does

Reassigning a job to somebody else can move the job's stage. If your company set When a technician is assigned to a stage, the job jumps back to that stage each time you change the person — including a swap from one technician to another. See Work statuses explained.

Everything already on the job stays: the parts, the photos, the payments and the sheet.

Helpers are not assignments

Helpers on a job record who else went along. Pay and incentive stay with the assigned technician. Adding a helper does not give them the job.
