Create a job
How an office admin adds a new job on the Dashboard, which fields matter, and how to import many jobs at once.
A job is one piece of service work for one customer. Everything else in KaryaFlow hangs off it — the parts used, the invoice, the money collected and what the technician earns.
Open Jobs in the sidebar.
Add one job
The form sits at the top of the Jobs page. Your company can set it to start closed. Click the panel header to open it, or press the New job shortcut (Ctrl+E unless your company changed it).
Type the job title
Job Title is required. Write what the visit is for, such as Service visit or Chimney installation.
Pick the customer
Type a name in the Customer box to search. If they are not on record yet, type the full name and choose Create "…" to add them on the spot. That opens Quick Add Customer, which asks only for a name and an optional phone number.
Pick the customer's machine, if you track machines
Customer's machine links the job to one unit the customer owns, so the service history for that machine stays together. Leave it blank if you do not need it.
Set the date
Date defaults to today. Change it to the day the technician should visit.
Assign a technician
Search in the Technician box. You can also leave it blank now and assign later. See Assign a technician.
Fill in whatever else applies
Service Category, Product, Priority, Reference ID, Description and Admin Remark are all optional. Priority is Low, Medium, High or Urgent.
Click Add Entry
The job is created and appears in the table below. A message confirms Job created successfully.
Clear empties the form without saving.
If you are recording money at the same time
The form can also take a payment on the same screen. Fill in Collection Amount and Payment Method — Cash, UPI, Bank Transfer or Cheque.
A collection needs a technician. If you enter an amount and leave Technician blank, the form refuses to save with Technician is required when recording a collection. KaryaFlow has to know whose hands the money is in.
Send the job to a different address
Some customers have more than one site. Under Service address, pick the address for this visit. It changes this job only, not the customer's record.
If the list is empty, the customer has no saved addresses. Add one from Edit customer details on the customer's page.
Add helpers
Helpers are extra people who go along on the visit. Add them by name.
Pay and incentive stay with the assigned technician. A helper is a record of who went, not a second person to pay.
Your form may not look like this
Your admin controls this form under Settings → Jobs → Job fields. They can:
- rename any field,
- hide a field from the new job form,
- make a field required.
So a field named here may be missing, renamed, or compulsory in your workspace. Nothing is wrong — see Settings that matter.
Import many jobs at once
Click Import Jobs above the table. Use this when you are moving from a spreadsheet or getting a batch from a brand.
The import can create the jobs, the customers and the collections together. When it finishes, the table refreshes.
Copy an existing job
Open the row menu on any job and choose Duplicate. This is for repeat visits to the same customer.
The copy gets its own job number and starts fresh. Parts, collections, invoices and completion sheets are never copied. Your admin decides what does carry over under Settings → Jobs → Duplicate.
Find a job again
The table has a search box and a filter in each column heading. Filter on Work Status, Assigned To, Scheduled date, Customer and more.
Export to Excel downloads exactly what the table is showing — your search, your filters and your sorting all apply.
