Job statuses explained

The difference between work status and payment status on a job, and how an admin sets up the stages their company uses.

Every job carries two separate statuses. They answer different questions and they move independently.

A job can be finished in the field and still sit at Pending Review on the money side. That is normal.

Work status

Work status is your own pipeline. You name the stages, put them in order and pick their colours. Typical sets read something like Pending, Assigned, In progress, Completed, Cancelled — but yours are whatever you type.

The same stages appear in three places:

  • as the Work Status column on the jobs table,
  • as the Work Status control on the job page,
  • as the filter chips a technician sees in the Technician app.

To change one job, click its Work Status and pick a new stage. To change many, tick the rows and use Move to status.

Payment status

Payment status has four fixed values. You cannot rename them.

Pending ReviewThe technician submitted it. Waiting for the office.
ApprovedThe office checked it and agreed.
PaidThe money is settled.
Needs RevisionThe office sent it back. The technician has to fix something.

The buttons on the job page follow the state: Approve and Reject while it is pending, Mark as Paid once approved, and Resubmit on a job the technician has to redo.

Some companies do not use payment status at all. If your provider turned that part off, the buttons and the badge are not there, and only the work status strip shows.

Set up your work statuses

Go to Settings → Jobs → Work Statuses.

Add the stages you use

Type a name in Add a work status… and press Enter. Drag the rows to put them in the order work really flows.

Choose which ones technicians see

The Mobile switch on each row decides whether it appears as a filter chip in the Technician app. The Default switch picks which chip the app opens on.

Mark the end stages

A stage marked as an end state closes the job. Use it for the last stage and for a cancelled one.

Set the automatic moves

See the table below. These save you moving jobs by hand.

The automatic moves

When a new job is createdThe stage every new job starts at, including jobs a technician creates on their phone. Leave it unset and those jobs arrive already closed.
Technician-finish stage (optional)Moving a job here stamps its completion date. That date is what technician pay and reports count against. Use it when the field finishes before the office closes the file.
When a technician is assignedMoves the job here whenever a technician is assigned, including a swap to a different technician. Choose Don't move automatically to leave it alone.
Completed statusJobs here count as finished. The completion date and technician pay key off it.
Cancelled statusJobs here count as cancelled. They are locked for technicians and never paid.

When a new job is created matters more than it looks. Leave it unset and every job a technician raises on their phone lands in your workspace already closed.

Edit one stage

Click the pencil on a stage to open Edit work status. Four things live there.

Paperwork checkpointTechnicians must file the jobsheet, and invoice any chargeable parts, before moving a job here. The office is never held.

If a technician tells you No work statuses are available for your role, every stage is hidden from technicians. Open each stage and turn the Technicians hide switch off.

Which paperwork a checkpoint asks for is a workspace-wide rule under Settings → Jobs → Field Workflow. The checkpoint switch only decides where it is checked.

On the technician's phone a checkpoint stage shows a padlock and a line telling them what is missing:

  • Create the jobsheet to move this job to …
  • Raise an invoice for the chargeable parts to move this job to …

Tapping the line takes them to the section that fixes it.

If the editor is hidden

The stage editor shows a locked note reading Work statuses are managed by your provider when the pipeline is switched off for your account. Contact your provider to switch it on.
